Your Mission
Reporting to the Chief People Officer, you will contribute to creating a professional, efficient and welcoming workplace for employees, partners and visitors. Your key responsibilities will be:
Workplace & Office Management
Ensure the day-to-day smooth running of the office and workplace environment.
- Manage office supplies, services and facilities (cleaning, coffee, maintenance, alarms, etc.)
- Coordinate with external suppliers and service providers
- Monitor service quality and follow up on supplier contracts
- Track and manage the office-related budget
- Ensure meeting rooms, common spaces and workplace areas remain organized and functional
- Support the continuous improvement of the workplace experience
Facility & Safety Coordination
Coordinate the proper functioning and maintenance of the building.
- Follow up on preventive and corrective maintenance
- Coordinate with technical providers (HVAC, electricity, safety systems
- Maintain the list of employees trained in first aid, fire safety and evacuation procedures
- Coordinate evacuation leaders across the building
- Ensure safety equipment and signage are compliant and visible
- Support internal communication related to workplace safety
Internal & Executive Events
Organize internal and executive events that strengthen company culture and collaboration.
- Coordinate internal company events (team buildings, summer events, Christmas events, etc.)
- Support the organization of executive events (board dinners, strategic offsites)
- Ensure smooth logistical planning and execution
Visitor Experience & Reception
Ensure an excellent experience for all visitors to the company.
- Own the visitor welcome process
- Ensure a professional and warm reception experience
- Coordinate meeting room preparation and visitor logistics
- Continuously improve the visitor journey and overall experience
Executive Office Support
Provide organizational and logistical support to Executive Committee members.
- Coordinate meeting logistics and internal events
- Assist with travel arrangements and scheduling when required
Your Profile
- 5+ years of experience in Office Management, Executive Support or Workplace Management
- Excellent organizational and coordination skills
- Experience of managing suppliers and external service providers
- Strong attention to detail and proactive mindset
- Ability to handle multiple priorities in a dynamic environment
- Strong communication skills in French and English
- High level of reliability, discretion and ownership
